Job description

As an Event Manager & Producer at Quadrant Events, you will play a vital role in our event production process, working on prestigious events for regional and national blue-chip companies. You will collaborate with our diverse team to event manage profitable client events from start to finish – according to the project’s requirements, target audience and objectives. Preparing the planning and detailed delivery that will exceed our client’s expectations and their business objectives, whilst continuously looking for new opportunities throughout to enhance the events success and client experience. This is a fantastic opportunity for a talented Event Manager & Producer to showcase their skills in a creative and fast-paced environment.

 

Key responsibilities

Event Management

  • Ensure that the highest standards of event planning and delivery are maintained, whilst carefully managing resources and deadlines.
  • Work with the Head of Event Operations and team to add value to client’s events through creative solutions and services. Including creative concepts, audience engagements ideas, content design ideas, enhanced technical solutions and negotiation with 3rd party suppliers.
  • Consistently deliver maximum profit margins and customer value across event projects.
  • Ensure company procedures are followed resulting in consistency and standardisation in the delivery of all events.
  • Assist in the preparation of comprehensive and informative written proposals for existing and new clients with the support from the Head of Event Operations and Business Management Team.
  • Complete site inspections of proposed event venues to review both logistics and technical elements (supported by Technical Project Manager).
  • Produce, manage, and circulate critical paths, running orders, Showcalls and other required event communications / reports to all key event stakeholders.
  • Work with clients to ensure key conference themes are identified, managing suppliers, speakers, and the planning process to ensure flawless execution on-site.
  • Travel onsite both in the UK and abroad to manage all event requirements and on-site staff including all logistical and technical staff.
  • Ensure all events are delivered in accordance with any client defined compliance guidelines.

Client Liaison

  • Liaise with and advise clients, using knowledge and event experience to ensure that their business objectives are met.
  • Build, maintain and develop long term relationships with clients.
    Plan, attend and execute client planning meetings- face to face, conference calls and video conferencing where required.
  • Prepare required meeting materials for client planning meetings.
  • Attend client briefings, project meetings and post event debrief as required.
  • Apply excellent written and verbal communication skills.

Financial Management

  • Prepare and maintain budgets throughout the life cycle of each event.
  • Ensure client invoices are the right amount and compliant with Quadrant terms and conditions, and client payment terms are communicated to Quadrant accounts team.
  • Continually look for cost saving measures without compromising the standard of the events.
  • Manage and achieve project profitability.

General

  • Effective interaction with and respect for all other departments, for example creative, technical teams, video production and accounts.
  • Attendance and contribution to team and company meetings.
  • Ensure compliance with all company and client polices / procedures including those relating to health and safety.
  • Comply with all of Quadrants and client privacy and security protocols.
  • Achieve all of Quadrants and clients service level agreements for all events.
  • Maintain good long-term relationships with freelancers, suppliers, and venues to ensure best service and value for money for all clients.
  • Understand, apply, and always promote Quadrant’s customer services and values.

Role requirements

Essential

  • 2-years’ experience in live event production as an event manager/producer
  • Experience managing main room speakers, content and Showcall documents.
  • Client and customer focus with client satisfaction at the forefront of all tasks
  • Excellent planning & organisational skills, ensuring detailed and resilient planning is in place across all areas of responsibility.
  • Proficient in Microsoft Office programmes.
  • Ability to negotiate with colleagues, clients, and suppliers to agree mutually beneficial outcomes.
  • Strong communication skills to enable efficient and effective event delivery.
  • Leadership experience – taking full responsibility for your events in a fast-paced environment.
  • Attention to detail with a focus on quality, and excellence.
  • Problem solving abilities with a structured approach to problem solving in finding solutions to complex and instant issues.

Desirable

  • Technical production and equipment knowledge
  • Virtual and Hybrid event experience
